Driver profiles
The two records behind every driver, the fields you fill in, and what happens between creating one and their first sign-in.
A driver is two records that travel together: a user account that can sign in, and a driver profile holding their licence, compliance and employment details. You create both in one step, and Cooriroo emails the person an invitation to set a password. Until they accept it they exist in the system but cannot sign in.

Viewing the list needs drivers:read. Creating, editing and resending invitations need drivers:write. Removing a driver needs drivers:delete.
What a driver record holds
The create and edit form is one required section followed by five optional ones, all collapsed until you open them. Only Email Address, First Name and Last Name are required — everything else can be filled in later, or imported.
- Basic Information — email, name, phone number, date of birth.
- License Information — number, expiry, class, years of experience.
- Employment — hire date.
- Compliance — background check date and status (cleared, pending or failed), medical exam expiry.
- Training — certifications, entered as one comma-separated list.
- Emergency Contact — a name and a phone number.
Any custom fields your organisation has defined for drivers appear as a further section at the bottom of the same form.
Creating a driver
One form, one email. The driver does the rest.

Open the create form
Drivers → Add DriverThe button sits at the top right of the drivers list, next to Import.

Fill in the required fields
Email address, first name and last name. The email must not already belong to a user in your organisation — a duplicate is refused with a conflict, not silently merged.

Open the sections you have details for
Licence, employment, compliance, training and emergency contact are all optional at this point. A record with none of them is still a valid driver.

Save
Cooriroo creates the user account, creates the driver profile, grants the driver role, and sends the invitation email. The new driver appears in the list immediately with an account status of Pending.
Account status and the invitation

While a driver is Pending, an envelope button appears in their row so you can resend the invitation. It disappears once the account is Active, and the request is refused if you reach it another way — an active account has a password already, so there is nothing to invite them to. Accepting the invitation also marks their email verified, because ownership of the address is what the invitation proves.
Finding a driver again
The search box matches on name or email. The Status filter narrows by driver status — Available, On Delivery, On Break, On Leave or Offline — and the columns are configurable per person, so the licence, account and joined columns can be turned on for your own view without changing anyone else’s.
One sorting limit is worth knowing: you cannot sort the list by name. Names live on the joined user record rather than the driver profile, so the sortable columns are licence number, licence expiry, status, hire date, phone number, date of birth, medical exam expiry and the created and updated timestamps. Search by name instead of sorting by it.
The detail page
Opening a driver gives you tabs for Overview, Shifts, Trips, Tasks, Destinations, Vehicle and Compliance. A Location tab appears as well when live presence tracking is enabled for your organisation, showing where the driver has been off-trip.
Overview is the reference view: personal information, licence, employment, emergency contact, training certifications, and an account activity card with email verification, last login and record timestamps. Compliance turns the licence and medical dates into a score with the violations behind it, so you are not reading expiry dates and doing the arithmetic yourself.
Importing drivers in bulk
The Import button on the drivers list takes a spreadsheet and matches rows on email. A row whose email already exists updates that driver rather than creating a second one, and an empty optional cell leaves the current value alone rather than blanking it.
Newly created drivers are emailed an invitation once the import finishes. Updated drivers are not — they already have an account. The downloadable template includes your organisation’s custom driver fields as extra columns.
Terminology
Your organisation can rename these. If your screens say something else, this is what they mean here.
